Everything to run it today.
Everything to hand it off someday.

If something happened to you Friday, could anyone step in Monday?

The one place your family, partner, or CPA would look first — the EIN, the returns, the insurance, the key contacts, and how a successor reaches every login, so no one starts from zero.

Build your vault free · from $100/yr when you export or hand off, capped at $300 · no card seen by us — Stripe checkout ·

Right now, the plan is you.

The EIN in an old Google Drive. Last year’s return buried in your inbox. The bank login only you know. It all works — because you’re the one holding it together. But this Friday, if you couldn’t get to your desk, the honest answer is “nobody knows where anything is.” That’s not a plan. It’s a single point of failure, and it’s you.

No partner or successor lined up? It’s still someone’s to untangle — your spouse, your family, your accountant. This is the map you leave them.

You can fix this. Start with 20 minutes.

One secure place for everything they'd need — set it up once, keep it current, and stop carrying it all in your head. You can see exactly what's inside just below.

🔑 You never stare at a blank form.
New here? The guided “Walk Me Through the Guided Setup” walkthrough asks a few plain questions and fills the vault with you — one at a time, skip anything, nothing’s graded. Setting it up for a parent or an aging owner? Sit down together and answer as you go.

Whatever you need it to be

Same vault, three depths — a simple handoff, a records vault, or a complete operating picture that keeps every deadline and detail in one place (alongside the tools you already use, not replacing them). Fill in only what earns its place.

What's inside

Everything a vault holds, in one organized place.

Fill in only what earns its place — a successor, a buyer, or your CPA finds it all in one spot. One subscription holds all your businesses — you don't set one up per business.

Business Basics & EIN Tax Profile & Returns Key Contacts Service Providers Logins & Credentials Insurance Documents Recurring Deadlines & Reminders Successor Instructions Shared Access
Who can see it — you decide, per person. Keep it to yourself, share it with a co-owner or partner, grant your CPA access, or set up a successor with a calm start-here view for the day it's needed. Every change to who has access is logged.
Not just for the worst day

It earns its keep every week.

Never miss a deadline. Estimated payments, sales-tax filings, annual reports, and tax-return due dates in one place, with reminders before they're due — so nothing slips, for you or whoever's covering.
Keep the tax picture straight. Entity type, how it's taxed, the EIN, and every filed return with who prepared it — so a successor or a new CPA can pick up mid-year without a scavenger hunt.
Know exactly who to call. Your CPA, attorney, banker, insurance agent, and key contacts — with a "call first if I'm not here" flag on the ones that matter most.
Point to where every login lives. Not the passwords — just where they are, so nothing sensitive sits in one basket, but nobody's locked out either.
Leave instructions in your own words. What to do first, what you'd want done with the business, what not to do, and who to tell — so whoever takes over acts the way you would.
Why not just a doc?

Keep your doc and your password manager. Keystead is the layer over them.

You've probably got pieces of this already — a "hit by a bus" doc, a password manager, maybe an attorney's binder. Keep them. Keystead doesn't replace them; it's the connective layer that makes them usable by someone else on the day you can't explain them. Three things a doc and a password manager can't do:

Hand off gradually — not all-or-nothingA shared doc is open to everyone, forever — or to no one. Keystead gives a successor a calm, read-only “start here” view; the full vault opens only when you (or an editor) hand it over — enforced at the database, not on the honor system.
Tell you when it's actually doneYour doc has no idea what's missing. Keystead scores your readiness across every section, so "ready to hand off" becomes a number you finish — not a half-typed file you forget about.
Keep itself aliveA password manager holds the key; it can't say which door it opens, or that the annual report is due Friday. Keystead turns your renewal dates and filings into reminders before they're due — the reason a DIY doc rots and this doesn't.

Your password manager holds the keys. Keystead is the map — which key opens which door, in what order, and who to call first. We point to where your logins live; we never copy them.

Your most sensitive business details, handled with care.

We Don’t Hold Your Passwords — By Design

A vault full of passwords is exactly what gets hacked. So Keystead holds the map instead — where each login lives and the one key a successor needs to open it. They get in; we never become the thing worth breaking into.

Walled Off From Every Other Customer

Your vault is isolated in the database itself — a separate layer from the app, so one customer’s account can’t be served another’s data even if the app’s own checks failed.

Every Change Logged

An append-only activity log records who changed what — it can’t be edited or rewritten through the app, so a successor or advisor can always trust the record.

And if Keystead ever went away? Your vault is yours to take with you. While your plan is active you can export the whole thing as a PDF, CSV, or full backup — and if we ever had to wind the service down, we’d give you clear notice and a final export first. A continuity tool shouldn’t be a single point of failure, so we made sure it isn’t.

Why I Built This

The tool I kept wishing existed.

I'm the COO of ENGAGE CPAs, and I still do hands-on tax and accounting work — so I keep watching people who've built something real put it at risk for one avoidable reason: none of it is written down anywhere someone else could reach. Keystead Vault is what I kept wishing existed — one secure place an owner fills in once, so a family member, a successor, or their accountant is never left guessing.

Simple, capped pricing

Free to build. From $100 to hand off.

Fill your whole vault for free — the EIN, the returns, the logins, all of it. You only pay when you’re ready to export it or turn on the live successor handoff. It’s $100 a year per business — capped at $300, however many you own, with your personal tax vault included and everyone you invite free.

Fill your whole vault free.
What you pay for is the part that matters on the bad day — the live successor handoff stays a locked preview until you're on a plan (that's when exports unlock too). Build and preview everything first; card only when you're ready.
$100/year per business
1 business $1002 businesses $2003 or more $300 (capped)
You only pay for businesses you set up — a business you co-own or that's shared to you is always free, and so is your personal tax vault and everyone you invite. Never more than $300, however many you own.
  • Your data is yours — while your plan is active, export the whole vault anytime (PDF, CSV, or full backup), and anything you’ve exported is yours to keep for good
  • One place a buyer, a successor, or your family knows to look
  • Everything they’d need to keep the business running, take it over, or value it for a sale
  • The instructions, contacts, and documents that would otherwise walk out the door with you
  • Your logins mapped, not stored — where each one lives and how a successor gets in, so we never become a honeypot for your passwords
Building your vault is free — no card. When you’re ready to export or hand off, it’s $100/year per business, capped at $300 (3+ businesses are always just $300), personal tax vault included.
